90 an hour 8 days ago 8 days ago 8 days ago The Administrative Assistant III provides administrative support to the Senior Vice President of Provider Network and the Network Operations Department including; clerical tasks, problem resolution, research, report preparation and coordinating administrative support activities that require knowledge of Provider Network operations, policies and processes.
The incumbent is expected to understand and administer department guidelines, policies and procedures and perform a variety of office tasks in support of administrative, program or technical operations.
This position works independently on most assignments, projects and problems, but will work with other staff on projects as needed.
This position will allow the successful candidate to work a primarily remote schedule.
Two days a week working onsite is required.
Responsibilities & Duties Provide Administrative Support to Department Head and Department Maintain calendar for SVP Secure meeting space, arrange all logistics, establish and monitor webinars to ensure effective meetings.
Take calls, respond to e-mails and interface with other departments, providers, consumers and occasionally board members.
Prepare internal and external corporate documents for Provider Network and providers.
Schedule departmental and inter-departmental meetings and appointments.
Arrange and manage travel itineraries.
Compose and mail letters/mail merge/labels as needed.
Maintain organized filing system.
Responsible for department PCard, its usage and reconciliation of bank statement.
Assist with onboarding new employees Assist with Community Health and Wellbeing MHFA training efforts.
Provide Committee Support and Meeting Logistics Typical support tasks include:
Schedule meetings and maintain accurate membership lists, room reservations, webinars Take minutes and complete reports Create and accurately maintain associated spreadsheets identifying committee activities, track denied and pending applications to ensure timelines are met, track credentialing department productivity via spreadsheet.
Maintain a SharePoint Provider Network site including updating calendar(s) and uploading materials.
Effectively communicate with committee chair regarding meeting support needs and be timely and responsive.
Collaborate with other admins in addressing calendars, conference rooms or other needs for smooth office flow As requested, coordinate and secure refreshments or meals.
Knowledge, Skills, & Abilities Ability to practice effective communication techniques both orally and in writing including ability to coordinate a variety of resources in gathering information and independently answering inquiries.
Ability to exercise independent judgement and discretion.
Considerable knowledge of effective practices and ability to plan and complete projects.
Strong organizational, anticipatory, project management and problem-solving skills with effectual multi-tasking abilities Ability to establish and maintain effective working relationships with subordinates, peers, management, and the general public.
Skill in organizing work flow and coordinating activities.
Skill in developing presentations, presentation materials and reports.
Intermediate to Advanced skills with Microsoft Office Products Skilled in the use of Audiovisual equipment and able to train others in its use.
Minimum Education & Experience High School degree or equivalent and four (4) years of progressively responsible administrative experience including 2 years of administrative or office management experience involving substantial public contact, information gathering, and writing experience; or Associate's degree and 2 years of related experience Salary Range $19.
12-$32.
90/hourly Exact compensation will be determined based on the candidate's education, experience, external market data and consideration of internal equity.
